Project Background: A Race Against Time

Recently, Realogistics received an urgent request from a technology company to transport a laser alignment tool from Milan, Italy, to Guangzhou, China, and then return it to Milan in its original condition after use.

This was not just a simple round-trip shipment, but an extreme challenge to our professional capabilities:

Strict Timeline: The client explicitly required that each one-way operation (including customs clearance and transport) must be completed within 7 days (one week) .

Complex Operations: The project involved special ATA Carnet declarations, separate handling of the original carnet booklet, round-trip customs clearance, and insurance arrangement.

Peak Season Challenges: The shipment coincided with the peak shipping season, facing tight cargo space and a multi-stop itinerary (MXP-DOH-CAN-HKG-MXP).

Core Challenges and Strategies

Challenge 1: Risk of International Transport Delays

Pain Point: Tight flight resources and multiple transit points increased the risk of flight cancellations or layovers.

Realogistics Strategy:

  • Locked in round-trip cargo space in advance to avoid offloading risks during peak season.

  • Established a contingency mechanism with backup flight plans and synchronized daily timeline updates.

Challenge 2: Zero Tolerance for ATA Clearance Errors

Pain Point: The documentation was cumbersome. Any customs queries or inspections would immediately jeopardize the timeline.

Realogistics Strategy:

  • Synchronized document preparation with shipping arrangements, assisting the client to perfect documents in one go.

  • Coordinated with premium customs brokers to reserve a "green channel" and apply for priority clearance.

Challenge 3: Circulation of the Original Carnet

Pain Point: The original ATA Carnet booklet required separate courier delivery. A courier delay meant the cargo could not be cleared.

Realogistics Strategy:

  • Assigned dedicated personnel to track the courier trajectory, ensuring the booklet arrived at the designated customs broker 1-2 days before the cargo.


Operational Review: Round-Trip Delivery in 7 Days

We customized a refined, full-process solution for the client, managing time down to the hour.

Import Leg: Milan → Guangzhou (Completed within 7 Days)

Day 1: Italian agent picked up and verified the cargo, took photos for records, delivered to the airport, and provided the AWB number.

Day 2-4: Cargo in transit to China. Synchronized with Guangzhou Customs for pre-declaration; ensured the arrival of the original ATA Carnet.

Day 5-6: Cargo arrived in Guangzhou. Dedicated broker personnel followed up for green channel quick release.

Day 7: Dedicated vehicle delivery, on-site signing of confirmation, and advising the client on proper storage for the return shipment.

Return Leg: Guangzhou → Milan (Completed within 7 Days)

Day 1: Confirmed return schedule, verified ATA Carnet validity and cargo condition, and reserved the overseas green channel.

Day 2: Picked up and verified cargo with comparison photos. Broker handled pre-declaration; reminded the client to courier the original Carnet back to Italy.

Day 3: Reinforced cargo packaging and handed over to the airline.

Day 4-6: Full tracking of air freight trajectory and alerting the Italian consignee to prepare for receipt.

Day 7: Cargo arrived in Milan. Local agent handled rapid clearance and delivery, successfully closing the loop.

Timeline Targets Met: Both legs of the journey were strictly completed within 7 working days, perfectly matching the client's tight maintenance schedule.

Zero Damage Delivery: Precision instruments have high transport requirements. Verification confirmed that internal components were fully functional with zero damage throughout the process.
