I. Project Background

In February 2025, our company was entrusted by the client to transport 172 servers and related accessories (including fiber optics and switches) from Singapore to the Johor Data Center in Malaysia. The cargo consisted of second-hand equipment from 30 different brands and models, in an unpackaged state, requiring collection from three different addresses in Singapore on the same afternoon. Additionally, the client did not provide import and export documentation; all necessary documents were prepared by Realogistics, who also coordinated the on-site unpacking and delivery.

II. Core Challenges

  1. Time Control: The transport time needed to be controlled within 7 to 10 days to ensure efficiency.

  2. Cargo Safety: The second-hand goods lacked packaging, necessitating the identification of suitable packing methods to ensure safety during transport.

  3. SIRIM Certification: Each model of the electronic products required a SIRIM certification for import, involving the preparation of technical manuals and model classification.

  4. Agent Selection: Quick identification of reliable import and export agents in Singapore and Malaysia was essential to handle customs clearance and transportation matters.

Definitions

Overview of SIRIM Certification:

SIRIM (Standards and Industrial Research Institute of Malaysia) is responsible for developing and managing standards and certifications in Malaysia, including SIRIM Approval. For certain categories of products, SIRIM certification is a mandatory requirement for entering the Malaysian market.

Product Categories Requiring SIRIM Certification:

  • Electrical and electronic products (such as household appliances, electronic devices, etc.)

  • Fire safety equipment

  • Medical devices

  • Toys

  • Building materials

Application Process and Key Considerations:

  1. Application Submission: An application must be submitted to SIRIM, providing detailed information about the relevant product(s).

  2. Testing and Evaluation: SIRIM will conduct testing and evaluation to ensure the product complies with applicable standards.

  3. Obtaining Certification: Upon successful testing, a SIRIM certification certificate will be issued.

III. Implementation Process

  1. Demand Confirmation (February 5, 2025): Our company communicated with the client to confirm operational details and permit requirements, and developed a bilateral trade title and land transport plan.

  2. Collection and Packing (February 8 - 11, 2025):

    1. On February 8, the client confirmed the plan and requested driver and vehicle information by February 10. Our company coordinated specific arrangements with agents.

    2. On February 10 afternoon, the cargo was successfully collected, and the driver reviewed the pickup order, sending back photos. Subsequently, inventory and packing were conducted in the warehouse, resulting in a total of 10 pallets (3,500 kilograms).

  3. SIRIM Application (February 14, 2025):

    1. Technical manuals and application documents were submitted, and SIRIM certification was successfully obtained, covering seven models, with a special vehicle reserved for February 17.

  4. Transportation and Customs Clearance (February 16, 2025):

    1. The special vehicle departed in the afternoon of February 16 and successfully completed customs clearance at the border.

  5. Delivery (February 17, 2025):

    1. At the client’s delivery address, unpacking and quantity checks were conducted. Finally, the equipment was safely delivered upstairs, ensuring all items arrived intact.

IV. Project Outcomes

  • The transport process had no damage or delays, with timely delivery and high customer satisfaction.

  • By optimizing operational processes and efficient coordination, we improved project management effectiveness, laying a solid foundation for future cooperation.
