Project Background
A commercial kitchen equipment manufacturer urgently needed to transport a batch of customized high-voltage ovens to Penang, Malaysia. The ovens, standing 2.2 meters tall, exceeded the height restrictions of domestic security inspection equipment and contained heating batteries, motors, and magnetic components, classifying them as sensitive aviation transportation items. The customer explicitly required that the equipment be transported as a whole without disassembly, and it had to be completed within 7 days from the domestic location to Penang; otherwise, it would affect the opening plans of their overseas chain restaurant. Faced with limited domestic transportation capabilities, complex cross-border operations, and strict time constraints, Realogistics quickly initiated an emergency logistics plan.

Operational Challenges
Over-Size Transportation Challenge: The 2.2-meter height of the equipment could not pass through the conventional inspection channels at domestic airports.
Compliance with Magnetic Hazardous Goods Transportation: The oven’s built-in batteries, motors, and magnetic components required compliance with IATA regulations on the transportation of lithium batteries and magnetic materials, facing strict domestic inspection procedures.
Severe Time Constraints: The complete process of domestic-Hong Kong transportation, booking in Hong Kong, customs declaration, and international air transport needed to be completed within 7 days. Any delay in any segment would result in a breach of contract.
Customized Solution
(I) Transportation Route and Resource Coordination
A cross-border transportation plan from "Domestically → Hong Kong → Penang" was developed. Professional cross-border freight vehicles were coordinated to transport the ovens from the domestic location to Hong Kong, and a local Hong Kong logistics agent was commissioned to secure flight space to Penang in advance.
(II) Over-Size Transportation Assurance
Vehicles equipped with hydraulic lift platforms were selected, allowing flexibility in height adjustments to bypass height restrictions on roads in both the domestic region and Hong Kong. Moreover, professional reinforcement devices ensured that the ovens remained stable and secure during transit.
(III) Compliance Handling for Hazardous Magnetic Goods
Prepared the complete set of documents, including the Material Safety Data Sheet (MSDS) and magnetic substance inspection report, and submitted them to the airline and airport in advance by the Hong Kong agent.
Leveraged Hong Kong airport’s mature hazardous goods handling capabilities by applying for priority inspection channels to ensure the rapid passage of the cargo through security checks.
(IV) Timely Control of the Whole Process
A cross-regional collaborative team was formed where Realogistics was responsible for cargo loading and cross-border transportation while coordinating with the Hong Kong agent for flight booking and customs clearance, achieving seamless connections between processes.
An hourly progress tracking mechanism was established to provide real-time updates to the client regarding cargo location, customs clearance status, and flight information, ensuring transparency and control throughout all stages.
Execution Process
Day 1: The client delivered the ovens to Realogistics Guangzhou warehouse, where packaging reinforcement and document organization were completed. Meanwhile, cross-border freight vehicles were coordinated, and Hong Kong agents were commissioned to reserve flight space for 3 days later.
Day 2: The ovens were transported from the domestic location to Hong Kong using over-size transportation vehicles, quickly clearing customs at the Shenzhen Bay port, and the cargo arrived at a designated warehouse in Hong Kong on the same day.
Day 3: The Hong Kong agent completed cargo security declaration, submitting the entire compliance documentation and passing the hazardous goods preliminary inspection at Hong Kong airport.
Day 4: The ovens successfully passed through Hong Kong airport security and completed pre-loading preparations.
Day 5: The ovens boarded the reserved flight from Hong Kong to Penang and safely arrived, allowing the recipient to clear customs without issues.
Project Results
Timeliness Achieved: The total time taken was 5 days, completing the delivery requirements 2 days ahead of the customer’s timeline and ensuring the smooth progression of the client's overseas project.
Zero Damage Delivery: Throughout the transportation process, the ovens sustained no damage, and the internal components remained fully operational, earning commendations from the client in writing.
Experience Accumulated: Established operational standards for cross-border transportation of high-voltage equipment, providing reusable solutions for future similar projects.
